COVID-19 Communications Toolkit
Times of crisis highlight the need for an overall communication strategy. In order to provide clarity and confidence for your employees, customers, and stakeholders alike, we encourage you to review our concise toolkit covering some best practices to keep in mind when formulating communication responses regarding COVID-19.
Coronavirus: Proactive Marketing and Trade Show Tips
- Internal communication: Leadership, HR, and marketing communications teams should work together to prepare and distribute employee communications on current stance and any adjustments to in-office work, company, or other guidelines. For large and/or global organizations, we recommend a formal communications plan and committee/process for triage of questions.
- External communication: Leadership and the marketing communications team should proactively communicate any changes based on your response to this situation to customers, prospects, and other stakeholders.
- Prioritize meeting scheduling: Ramp up your BD teams’ efforts and inside sales resources around meeting scheduling efforts leading up to trade shows. If the conference cancels, attendance declines enough, or you choose not to attend, you still have the opportunity to keep a meeting on the books with prospects.
- Actively monitor conference attendance/cancellations: BD and marketing should make decisions on how many staff to send and what level of investment to make. SCORR has provided a live industry conference tracker below.
- Convert meetings, events, and trade show attendance to virtual meetings: We see conferences moving dates out, but they are trying to retain an on-site format. There is currently little discussion of moving to virtual conference platforms. That said, if your company has events or all-company meetings to host, consider virtual options such as Zoom, vConferenceOnline, or webinar-based platforms. If conferences are cancelled, encourage meetings to stay on the calendar and offer to set up the meeting online. Ask your IT department to assess your current meeting platform and bandwidth in preparation.
- Assess paid media and digital investments: These are often targeted around or at trade shows. Assess the level of investment and adjust as needed.
